Sending Interview Invitations

Learn how to invite candidates to complete AI-powered video interviews. Hifinity makes it easy to send personalized interview links via email with just a few clicks.

How It Works

When you send an interview to a candidate, Hifinity automatically:

Before You Start

Make sure you have:

Created a Job

Step-by-Step Guide

Navigate to Candidates Page

Go to the Candidates page from your Business Portal navigation menu.

Select a Candidate

Find the candidate you want to interview. You can:

  • Use the search bar to find candidates by name or email
  • Filter by status (Invited, Active, Completed)
  • Browse through the paginated list

Click the "Send Interview" button next to the candidate's name.

Choose Job and Template

The "Send Interview" modal appears. Configure the interview:

Select Job

Choose which job position this interview is for. Only jobs with published templates are available.

Select Interview Template

Choose from published templates associated with the selected job. You'll see template details like difficulty, focus area, duration, and number of questions.

Click the preview icon to see all questions in the template before sending

Pro Tip

You can only select templates that are in "Published" status. Draft templates won't appear in this list.

Send the Invitation

Click "Send Interview Invitation" to send the email.

The candidate will receive an email containing:

  • Company name and job title
  • Interview instructions and what to expect
  • Estimated duration and number of questions
  • Technical requirements (webcam, microphone, browser)
  • Unique interview link (click to start)

Tracking Interview Status

After sending, you can track the interview progress from the Interviews page:

Resending Interview Invitations

If a candidate hasn't received or completed their interview, you can resend the invitation:

From the Interviews Page:

Go to the Interviews page and find the interview

2.

Click the actions menu (three dots) next to the interview

3.

Select "Resend Invitation"

The candidate receives a new email with the same interview link

From the Application Page:

1.

Open an application and go to the "Interviews" tab

2.

Find the interview in the list and click the send icon on the right side of the row

Note

Resending doesn't create a new interview - it sends a reminder email with the same unique link. Any progress the candidate made is preserved.

Best Practices

Set Expectations

Let candidates know about the interview beforehand via phone or email so they're prepared and expecting the invitation

Check Email Addresses

Verify candidate email addresses are correct before sending to avoid delivery issues

Follow Up

If a candidate hasn't started within 2-3 days, send a friendly reminder or resend the invitation
