Learn how to add candidates to your system manually or in bulk to start the interview process.
Ways to Add Candidates
Hifinity offers multiple methods to add candidates to your database:
Manual Entry

Adding Candidates Manually
Navigate to Candidates Page
Go to Candidates from your Business Portal navigation menu, then click "Add Candidate" in the top right.
Fill in Candidate Information
Complete the candidate form with the following details:
First Name & Last Name*
Required. The candidate's full name.
Email Address*
Required. Used to send interview invitations and communications.
Phone Number
Optional. For additional contact methods.
Resume
Optional. Upload PDF or DOCX file of candidate's resume.
Notes
Optional. Add internal notes about the candidate.
Save the Candidate
Click "Add Candidate" to save. The candidate will appear in your candidates list and you can now send them interviews.
Bulk Import from CSV
Save time by importing multiple candidates at once from a CSV file.
Prepare Your CSV File
Create a CSV file with the following columns:
Only first_name, last_name, and email are required.
Upload the File
Click "Import Candidates" on the Candidates page, then select your CSV file. The system will validate the data and show a preview.
Review and Confirm
Review the preview to ensure data is mapped correctly. Fix any errors shown, then click "Import" to add all candidates.

Candidates from Job Applications
When candidates apply to your public job postings, they're automatically added to your candidates database. You can:
- View all applicants in the Applications section
- Review their resumes and cover letters
- Send interviews directly from the application
- Move promising candidates through your pipeline

Best Practices
Verify Email Addresses
Double-check email addresses before saving. Invalid emails will prevent interview invitations from being delivered.
Add Detailed Notes
Include source information, referrals, or any context that helps your team understand how you found this candidate.
Upload Resumes When Possible
Having the resume on file gives you and your team easy access to candidate qualifications and history.
